This Privacy Policy explains how Maintenance on Demand LLC, doing business as REINovation ("REINovation," "we," "us," or "our"), collects, uses, shares, and protects information in connection with our website at reinovation.co, our client and contractor portals at app.reinovation.co, and any related services (collectively, the "Services").

1. Who this policy applies to
This policy applies to three groups of people who interact with REINovation:
- Visitors who browse our marketing site, request a consultation, use the cost calculator, or subscribe to our newsletter.
- Clients — real estate investors and property owners who engage us to coordinate unit turnovers, maintenance, inspections, and related work.
- Contractors — tradespeople and service providers who receive work through our platform.
We are the "controller" of your personal information under applicable U.S. state privacy laws and, where relevant, comparable international frameworks.
2. Information we collect
Information you give us directly
- Contact and account information: name, email, phone number, company or portfolio name, role, password (hashed), and profile preferences.
- Lead and consultation information: portfolio size, markets of interest, property types, services needed, biggest challenge, timeline, and how you heard about us.
- Property information: addresses, unit numbers, property type, bedrooms, bathrooms, square footage, and notes you provide about a property.
- Work and scope information: descriptions of work requested, photos, tasks, draw milestones, change orders, messages, and related attachments.
- Payment and billing information: invoice history, amounts, and payment method metadata. Full card numbers are handled by our payment processors — we do not store card numbers on our servers.
- Contractor information: trades, credentials, availability, rate information, language preference, communication preference, and performance history (on-time rate, ratings, completed jobs).
- Communications: messages you exchange with us or other users of the platform (client chat, vendor chat, or internal notes), support requests, and newsletter signups.
Information we collect automatically
- Device and usage data: IP address, browser type and version, device type, operating system, pages viewed, links clicked, referring URL, and approximate geolocation derived from IP.
- Log data: timestamps, request and response data, and error logs generated by our hosting and backend systems.
- Cookies and similar technologies: small files placed on your device to keep you signed in, remember preferences, and measure how the Services are used. See Section 6 below.
Information from third parties
- Referrals and co-marketing partners who introduce you to us.
- Our vendors — for example, our photo documentation tool (CompanyCam), accounting software (QuickBooks), payment processors (such as Stripe), messaging providers, analytics providers, and email delivery providers — each of which may share data with us as part of delivering the Services.
- Public sources such as property records or contractor licensing databases, where relevant.
3. How we use information
We use your information to:
- Operate, maintain, and improve the Services, including project scoping, contractor assignment, task tracking, draw approval, invoicing, and reporting.
- Coordinate between clients, our operations team, and contractors — each role sees only the information it needs to do its part.
- Provide customer support and respond to inquiries.
- Send transactional messages (for example, quote ready, invoice sent, draw submitted, change-order decision) by email or text.
- Send marketing communications, including our newsletter, where permitted. You can unsubscribe at any time.
- Personalize your experience on the Services.
- Detect, prevent, and investigate fraud, abuse, security incidents, and violations of our Terms.
- Comply with legal obligations and enforce our agreements.
- Conduct analytics and research to understand how the Services are used and improve them.
4. How we share information
We do not sell your personal information. We share information only as described below.
- With contractors — when you are a client, we share the property address, scope of work, schedule, photos, and client-channel messages needed for the assigned contractor to complete the job. Contractors do not see pricing information you pay to us, your financial fees, or other clients' data.
- With clients — when you are a contractor, we share your name, trades, communication preferences, ratings, and work assignments with the clients whose projects you are working on. Clients do not see the rates we pay you, your contact with other clients, or other contractors' information.
- With our service providers that help us run the Services, including hosting (Vercel, Supabase), photo documentation (CompanyCam), accounting (QuickBooks), payment processing (such as Stripe), email delivery (such as Resend), text messaging carriers, analytics providers, and customer support tools. These providers are contractually required to protect your information and use it only on our instructions.
- With professional advisors such as our lawyers, accountants, and insurers, under appropriate confidentiality obligations.
- In connection with a business transaction — if we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, your information may be transferred as part of that transaction, subject to standard confidentiality protections.
- To comply with law — we may disclose information if we believe in good faith that disclosure is required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of REINovation, our users, or others.
- With your consent — for any other purpose you authorize.
5. Text messages and consent
If you opt in to text messages from REINovation, we use a third-party messaging provider to send transactional notifications (for example: trade assigned, quote ready, invoice sent or overdue, draw submitted, change-order status) and, where permitted, occasional service messages.
- Opt-in: You opt in by verifying your phone number and toggling SMS preferences in your account settings, or by replying to a confirmation message. Message and data rates may apply.
- Opt-out: Reply STOP at any time to end messages on that channel. Reply HELP for help. You can also update your preferences in your account settings.
- No resale of phone numbers: We do not sell, rent, or share your mobile phone number with third parties for their marketing purposes. Phone numbers are shared only with the messaging provider we use to deliver your messages, and only for that purpose.
- Consent is not required to purchase. You can use the Services without receiving text messages by leaving SMS notifications disabled.
6. Cookies and analytics
We use cookies and similar technologies to keep you signed in, remember preferences (such as light or dark theme), understand how the Services are used, and improve them. Our cookies fall into these categories:
- Strictly necessary — required to sign you in, route requests, and keep the Services secure.
- Functional — remember your preferences and selections.
- Analytics — help us understand usage patterns so we can improve the Services.
Most browsers let you block or delete cookies through their settings. Blocking strictly necessary cookies may prevent parts of the Services from working. We do not currently respond to browser "Do Not Track" signals, but we honor applicable opt-out mechanisms where required by law (such as the Global Privacy Control, where supported).
7. Data retention
We keep personal information only as long as we need it for the purposes described in this policy, including:
- While your account is active and for a reasonable period afterward, so you can reactivate it.
- To meet legal, tax, accounting, or regulatory requirements (for example, financial records typically kept for at least seven years).
- To resolve disputes, enforce our agreements, or protect our rights.
When information is no longer needed, we delete or anonymize it, except where retention is legally required.
8. Your privacy rights
Depending on where you live, you may have rights regarding your personal information, including the right to:
- Access — request a copy of the personal information we hold about you.
- Correct — ask us to fix information that is inaccurate or incomplete.
- Delete — ask us to delete information, subject to legal exceptions.
- Portability — receive your information in a portable, machine-readable format.
- Opt out of targeted advertising, sale, or certain profiling — we do not sell personal information or engage in targeted advertising, but you may still submit a request.
- Withdraw consent — where we rely on consent to process your information.
- Appeal — if we decline a request, you may appeal that decision. Contact us using the details below.
To exercise any of these rights, email hello@reinovation.co. We will verify your identity before responding and will respond within the time required by applicable law (typically 30–45 days). You will not be discriminated against for exercising your rights.
Notice to California residents
Under the California Consumer Privacy Act, as amended ("CCPA/CPRA"), California residents have the rights described above. In the past 12 months we have collected the categories of personal information listed in Section 2, used them for the purposes listed in Section 3, and disclosed them to the categories of recipients listed in Section 4. We do not sell personal information and we do not share personal information for cross-context behavioral advertising.
Notice to residents of other U.S. states
If you live in Virginia, Colorado, Connecticut, Utah, Texas, Oregon, or another state with a comprehensive privacy law, you have the rights of access, correction, deletion, portability, and opt-out described above, subject to that state's specific framework.
9. Security
We use reasonable technical and organizational measures to protect your personal information, including encryption in transit, access controls, role-based data isolation (clients do not see contractor costs, contractors do not see client pricing), audit logging, and row-level security on our database. No system is perfectly secure, and we cannot guarantee absolute security. If you believe your account has been compromised, contact us immediately at hello@reinovation.co.
10. Children
The Services are not directed to children under 18, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.
11. International users
REINovation is based in the United States and our infrastructure is located in the United States. If you access the Services from outside the United States, your information will be transferred to, stored in, and processed in the United States, which may have data protection laws that differ from those in your country. By using the Services, you consent to this transfer.
12. Changes to this policy
We may update this policy from time to time. When we do, we will update the "Last updated" date at the top. If the changes are material, we will provide additional notice (for example, by email or an in-app notice). Your continued use of the Services after the changes take effect constitutes your acceptance of the updated policy.
